Under minimal supervision, perform administrative duties including answering telephones, greeting visitors, screening calls, and distributing incoming mail while preparing outgoing correspondence for the department.
Manage scheduling for managers by arranging appointments, preparing daily schedules, confirming travel, and coordinating meetings or special events; type medical reports, patient histories, operative notes using medical terminology, and proofread documents.
Maintain files, process financial records like invoices and budgets, operate office equipment, enter data into databases, and generate reports; may supervise employees, track schedules, and handle patient billing in a supportive hospital environment.

Requirements
- High school diploma or equivalent
- Three years of medical secretary experience
- Advanced knowledge of medical terminology
- Previous experience with various personal computer software applications
- Secretary, Medical Secretary or strong Administrative Assistant background
- Ability to type or keyboard
- Knowledge of office procedures for recordkeeping, filing, and confidential information
Responsibilities
- Answers unit/department telephones and greets visitors according to departmental procedure; screens calls and takes messages
- Receives, opens, dates, and distributes incoming mail; prepares and mails outgoing correspondence
- Sets up, organizes, and maintains departmental and patient files; retrieves information upon request
- Arranges and schedules appointments, meetings, and travel for managers; prepares daily schedules
- Types medical reports, patient histories, operative notes, and letters requiring medical terminology from draft to final copy; proofreads documents
- Processes employee time cards, purchases, reimbursements, and patient bills; maintains budget records
- Enters, updates, and retrieves data from computer databases; generates reports and statistics
- Inventories, orders, and maintains office supplies; operates standard office equipment
