The Medical Secretary plays a key role in ensuring the smooth and efficient operation of the medical office. This position provides essential clerical and administrative support, managing incoming and outgoing correspondence, maintaining departmental manuals, and supporting clinician scheduling. As the primary point of contact for patients, the role fosters a welcoming environment and serves as a liaison with external support services.

Day-to-day duties include delivering high-quality secretarial support through typing, filing, faxing, and maintaining office equipment. Coordinate clinician schedules, register patients, and verify insurance and referral information using EPIC, Cerner, and IDX systems. Manage calls, meetings, mail, tracking systems, treatment room readiness, inventory, and patient payments including co-pays.

The role involves preparing and organizing medical records, crafting professional correspondence, and upholding patient confidentiality while adhering to hospital and regulatory standards. Foster strong working relationships with patients, providers, vendors, and internal departments. Serve as a key point of contact by screening and directing communications efficiently.

In a fast-paced environment, exhibit adaptability, problem-solving skills, reliability, and punctuality. Maintain accurate departmental tracking systems and generate reports as needed. Ensure seamless office operations through proactive supply ordering and precise financial documentation.

Requirements

  • High school diploma or equivalent
  • One year of job-related experience
  • Prior experience with an electronic medical record system strongly preferred
  • Proficiency in EPIC, Cerner, and IDX systems
  • Ability to uphold patient confidentiality and comply with regulatory standards
  • Strong organizational skills for filing systems and correspondence
  • Adaptability and problem-solving in a fast-paced environment

Responsibilities
